Quotes from Opportunities

Raise a rental quote straight off a CRM opportunity. The contact and salesperson come across, the quote links back to the opportunity, and converting it to an order sets the opportunity's value and closes it as won.


How it fits in

Business Central's CRM opportunities track a sales pursuit through its stages. Essential Rental adds a Create Rental Quote action to the opportunity, so an in-progress opportunity becomes a rental quote in one step, with the link held all the way through to the order and the eventual sales invoice. It sits alongside Business Central's own Create Sales Quote, for teams who rent rather than (or as well as) sell.

Creating a quote from an opportunity

On the Opportunity card or the Opportunities list, use Create Rental Quote (next to the standard Create Sales Quote, and promoted to the ribbon). The action is enabled only while the opportunity is In Progress, the same rule Business Central applies to Create Sales Quote.

When you run it:

Customer is resolved

From the opportunity's contact. If the contact (or its company) is already a customer, that customer is used. If not, a customer is created from a customer template, the same way Create Sales Quote does it.

Details carry over

The contact and the salesperson from the opportunity are copied onto the quote, so you are not re-keying who the deal is with or who owns it.

The link is set

The quote is stamped with the Opportunity No., and the new quote opens ready for you to add rental lines.

If the opportunity's contact is not a customer yet, you will be taken through creating one from a template. Without a customer or a usable template, the quote cannot be created. Set the customer (or the template) up first.

The link and the Rental Documents FactBox

The quote, and any order it becomes, carries the Opportunity No. The Opportunity card shows a Rental Documents FactBox listing the rental documents raised from that opportunity, so you can see and open them without leaving the opportunity.

You can also link an existing rental quote or order to an opportunity by setting its Opportunity No. by hand. When you do, a blank Contact and Salesperson on the document are back-filled from the opportunity.

Converting to an order

When you Make Order from a quote that is linked to an opportunity, the order keeps the Opportunity No., and two things happen on the opportunity:

Estimated value is set to the order total, so the opportunity reflects what was actually agreed.

The opportunity is closed as Won. By default this uses Business Central's Close Opportunity dialog, so you confirm the close. With the setup toggle on (and a Won close code set up), it closes silently in the background.

The order is the primary result and is always saved first. If the close step is cancelled or cannot run, the order still stands; nothing is left half-done.

Off (default): converting a linked quote opens Business Central's Close Opportunity dialog so you confirm the win. On: the opportunity is closed Won without the dialog. Silent close needs a Won-type Close Opportunity Code to exist; if one does not, the dialog is used as a fallback.

Good to know

In Progress only. Create Rental Quote is enabled only while the opportunity is In Progress, matching Business Central's Create Sales Quote. Activate the opportunity first if the action is greyed out.

Value and close need an active entry. Setting the estimated value and closing Won both work against the opportunity's active entry on its sales cycle. If there is no active entry, those steps are skipped and the order still completes.

The link travels. Because the Opportunity No. moves from quote to order, and the order feeds the sales invoice, the tie between the rental work and the original opportunity stays intact end to end.
