Standard Rental Codes

A reusable, named set of rental lines you can drop onto a quote or order in one step, or have land automatically when you pick a customer. Build the set once, use it on every job that needs the same kit.


How it fits in

A Standard Rental Code is a template: a header (a code and a description) with a set of template lines underneath it. Each line names a Type and a No. (a rental item, item, resource, kit, G/L account, or a comment) plus a quantity. You pull a code into a rental Quote or Order with the Get Recurring Rental Lines action, and the template's lines are appended to the document. You can also link codes to a customer so they default onto new documents for that customer, silently or after a prompt.

A template line deliberately carries only what is specific to the line: Type, No., Description, and Quantity. Everything that belongs to the whole document (the rental dates, Billing Cycle, Price Term, Location, Job) comes from the document header when the lines land. That is what lets one code work across any hire period, customer, or depot without change.

Think of it as the rental equivalent of Business Central's Standard Sales Codes / "Get Recurring Sales Lines", built for rental lines and customer defaulting.

Building a code

Open Standard Rental Codes (search for it with Tell Me). Each code is a header with a Lines sub-page. The header names the set; the lines say what it contains.

Quantity
How many units this line adds to the document.
No dates, Billing Cycle, Price Term, Location, or Job on the template. Those come from the rental document's header when the code is inserted, so the same code suits any hire period or site.

Pulling a code into a quote or order

On a rental Quote or Order, the Get Recurring Rental Lines action on the Home ribbon opens a picker listing every Standard Rental Code. Tick one or more, choose Insert Selected, and each selected code's lines are appended to the document. A Kit line explodes into its component lines exactly as it would if you had added the kit by hand.

This is the ad-hoc route: any code, any document, whenever you want it. The customer defaults below are simply an automatic way of doing the same thing.

Customer defaults

You can have certain codes apply automatically for a given customer. Open Standard Rental Codes from the Customer card or the Customers list (under Related) to maintain that customer's default codes. Each linked code has two settings, one for quotes and one for orders, that decide how it is applied when you set that customer on a new document:

Manual

Nothing happens on its own. The code is simply available to pull in yourself via Get Recurring Rental Lines. Use this for codes you want on hand but not pushed.

Automatic

The code's lines are inserted silently the moment you set the customer. Use this for a customer's standing kit that should always be on the document.

Always Ask

A notification appears offering the code. Click its Get Recurring Rental Lines action to choose and insert. Use this when the kit usually applies but you want the final say each time.

Defaulting works whichever way you set the customer (by name or by number), and only on a fresh document that has no lines yet, so re-selecting the customer never stacks duplicates. Converting a quote to an order does not re-apply defaults, since the order already carries the quote's lines.

After inserting from an Always Ask notification, refresh the document if the new lines are not shown straight away.

How dates reach the lines

Inserted lines take their rental dates from the document header. Setting the customer stamps the header's Rental Start Date, so lines that default in at that moment arrive dated. The Rental End Date follows once you set it on the header: that change cascades down to the lines, which then price up for the full period. So the normal flow is unaffected. Set the customer, set your end date, and every line (defaulted or pulled in) carries the right dates.

Good to know

One template, any context. Because the template holds no dates or pricing, the same code gives correct figures whether it lands on a one-day hire or a six-month one. The Billing Cycle and Price Term come from the header and the price comes from your Rental Price Lists at the moment of insert, so codes never carry stale rates.

Comment lines. A line with Type = Comment carries just its text. Use them to caption a block ("Standard weekly package") within a code.

Kits explode. A Kit line on a code behaves like adding the kit on the document: it explodes into its components, properly indented, on insert.
